Event & Management Services

These Terms and Conditions (“Terms”) govern the provision of event planning, management, coordination, and related services by E & M Event Management Ltd, hereinafter referred to as the “Company,” to the client, hereinafter referred to as the “Client.”

By confirming a booking, signing a proposal, or making any payment, the Client agrees to be bound by these Terms.

 

1. Scope of Services

1.1 The Company agrees to provide event planning and management services as outlined in the approved proposal, quotation, or agreement. 1.2 Services may include, but are not limited to: event planning, venue coordination, décor, logistics, vendor management, staffing, entertainment, and on-site coordination. 1.3 Any services not expressly stated in the agreement are excluded and may require additional charges.

 

2. Booking & Confirmation

2.1 A booking is confirmed only upon:

· Written acceptance of the proposal, and

· Receipt of the required advance payment.

2.2 The Company reserves the right to refuse or cancel a booking if payments are not received on time.

 

3. Payments & Fees

3.1 All fees are quoted in British Pounds and are exclusive of applicable taxes unless stated otherwise. 3.2 Payment Schedule:

· Advance/Booking Fee: 50% (non-refundable unless stated otherwise)

· Balance Payment: Due 14 days before the event date

3.3 Late payments may attract penalties or result in suspension of services.

 

4. Cancellations & Postponements

4.1 Client Cancellation:

· Cancellation more than 30 days before the event: partial refund (excluding advance)

· Cancellation within 14 days of the event: no refund

4.2 Postponement:

· Postponement is subject to availability

· Additional costs from vendors or rescheduling will be borne by the Client

4.3 Company Cancellation: In the rare event the Company must cancel due to unforeseen circumstances, liability will be limited to a refund of fees already paid.

 

5. Changes to Event Details

5.1 Any changes to event scope, guest count, venue, or services must be communicated in writing. 5.2 Changes may result in additional charges. 5.3 Last-minute changes may not be accommodated.

 

6. Client Responsibilities

6.1 The Client must provide accurate and complete event information. 6.2 The Client is responsible for obtaining all necessary permissions, permits, and licenses unless otherwise agreed. 6.3 The Client is responsible for guest behavior and any damage caused during the event.

 

7. Vendors & Third Parties

7.1 The Company may engage third-party vendors on behalf of the Client. 7.2 The Company is not liable for vendor failure, delay, or misconduct but will make reasonable efforts to resolve issues. 7.3 Vendor payments once made are subject to vendor-specific policies.

 

8. Force Majeure

8.1 The Company shall not be liable for failure to perform due to events beyond reasonable control, including but not limited to:

· Natural disasters

· Government restrictions

· Pandemics

· Strikes, riots, or acts of God

8.2 In such cases, refunds or rescheduling will depend on vendor and operational feasibility.

 

9. Liability & Indemnity

9.1 The Company’s liability is limited to the total amount paid by the Client. 9.2 The Company shall not be liable for:

· Personal injury

· Loss or damage to property

· Losses caused by guests, vendors, or venues

9.3 The Client agrees to indemnify and hold the Company harmless against any claims arising from the event.

 

10. Damage & Loss

10.1 Any damage to equipment, décor, or venue caused by the Client or guests shall be the Client’s responsibility. 10.2 Replacement or repair costs must be paid in full.

 

11. Intellectual Property & Media

11.1 All concepts, designs, plans, and materials created by the Company remain its intellectual property unless otherwise agreed. 11.2 The Company may use event photographs/videos for marketing purposes unless the Client objects in writing.

 

12. Confidentiality

12.1 Both parties agree to keep all confidential information private unless required by law.

 

13. Termination

13.1 The Company reserves the right to terminate services if the Client breaches these Terms, engages in illegal activity, or behaves abusively toward staff. 13.2 In such cases, no refund shall be issued.

 

14. Governing Law & Jurisdiction

14.1 These Terms shall be governed by the laws of England & Wales. 14.2 Any disputes shall be subject to the exclusive jurisdiction of courts in England & Wales.

 

15. Amendments

15.1 The Company reserves the right to modify these Terms at any time. 15.2 Updated Terms will apply to all future bookings.

 

16. Acceptance

By confirming a booking or making payment, the Client acknowledges that they have read, understood, and agreed to these Terms and Conditions.
